Ruzuku’s built-in meeting rooms require attendees to log into an active course enrollment. If you are hosting an open marketing masterclass for prospective customers who have not yet bought, choose one of two workflows:

• •Option A: External Meeting Link: Schedule an External meeting type with your Zoom Webinar or streaming URL. Attendees can click directly into the webinar without needing a prior Ruzuku login.
• •Option B: Free Lead-Capture Course Container: Set up a free workshop course with a $0 price point. Share the enrollment link on social media or email. Prospects register, creating their account and capturing their email. They join inside Ruzuku, receive automated email reminders, and retain access to the replay and discussion forum afterward.

Live sessions are only half the value — replays turn a synchronous workshop into an evergreen asset. Here is how recordings land in your course:

• •Built-in Meetings (BBB): If Record Meeting is enabled, recording triggers automatically when the host enters within 1 minute of scheduled start. If you enter earlier to set up, click “Start Recording” manually when ready.
• •Zoom Integration: Ruzuku starts Zoom cloud recording the moment the first student joins. When the meeting ends and Zoom finishes processing, Ruzuku automatically copies the MP4 to the course. Note: Requires a paid Zoom account; free Zoom accounts only support local computer recording.
• •Whisper AI Transcripts & Downloads: On Ruzuku Pro, recordings are automatically transcribed with OpenAI Whisper (large-v3) and indexed for search. You can also toggle Allow Download on or off per video.

Attendance hinges on timely notifications. Every scheduled meeting in Ruzuku includes an automated 3-reminder notification sequence:

• •Default Schedule: Reminders fire 24 hours before, 1 hour before, and right as the session starts. Each email carries the student’s direct join button.
• •Full Customization: Customize the email subject and body copy with merge fields ({{{guide-name}}}, {{{start-day}}}), adjust advance offset minutes, or toggle off individual reminders.
• •Calendar Integration: Students can click “Add to Calendar” (Google, iCal, Outlook) for each session. For extra pre-workshop homework reminders or post-event replay emails, schedule broadcast Messages to your roster.

How to manage multi-week workshop series and offline physical gatherings without friction:

• •Recurring Sessions (Duplicate Workflow): Rather than configuring every meeting from scratch, set up Session 1 and click Duplicate. Update the date and time; each meeting automatically inherits its own reminder sequence and recording slot. Rescheduling a meeting includes a toggle to notify enrolled students of the change.
• •In-Person Events: Select the In-Person meeting type and enter your venue address. Reminders deliver location and parking instructions rather than a video link.
• •Live Attendee Roster: Your enrolled student list is your live check-in list. Export attendance data and student information as a CSV at any time from your course dashboard.
