Common LMS Challenges for Nonprofit Programs
Why traditional corporate LMS platforms and generic course builders create friction for nonprofit teams.
Staff Turnover Strands Course Content & Student History
When a training coordinator or educator moves on, their curriculum and learner records often get stranded under a personal login or reassigned inbox. Without multi-admin team permissions, institutional memory and months of work vanish during staff transitions.
Grant Reporting Demands Verifiable Proof, Not Screenshots
Funders and external evaluators require auditable completion logs, submission records, and evaluator access. Basic completion percentages and manual spreadsheets fail when an outside grant officer asks for hard compliance evidence.
Grant Budgets Don't Fit Recurring Monthly SaaS Subscriptions
Grant funding arrives for defined program periods. Monthly software subscriptions create an ongoing administrative burden to renew and defend. Nonprofits need predictable annual invoicing, PO terms, or one-time lifetime license funding.
Program Coordinators Run the Platform — Not IT Staff
At most nonprofits, a busy program coordinator manages enrollment, cohorts, and communications for volunteer instructors who never touch the backend. The platform must be simple enough for non-technical staff to operate without an IT department.
A Complete Online Learning Hub Built Around How Nonprofits Actually Teach
Cohort courses, browser-based live workshops, learner discussions, verifiable certificates, and exportable records on your own domain — managed effortlessly by your program team without requiring an IT staff.
Run 100% free community programs, invite-only partner staff onboarding, or paid professional certifications side-by-side from one account — with zero per-seat penalty fees, zero transaction fees, and institutional invoice billing.
Core Training Platform Features for Nonprofits
Built around what program managers, volunteer coordinators, and finance teams need most.
Built-In Live Video Meetings (No Zoom License Required)
Host browser-based video meetings up to 250 participants on every plan with zero external licenses needed. Plus, use our native Zoom integration if you need breakout rooms or larger groups.
Graded Quizzes & Facilitator Approvals
Knowledge checks, open-ended assignments, and rubric-based facilitator reviews with retake score history — essential for compliance, safety guidelines, and pre-service qualifications.
Multi-Admin & Facilitator Team Roles
Admins, guides, and instructors have distinct permissions so program coordinators can build, manage, and clone courses while volunteer instructors focus strictly on facilitating.
Verifiable Certificates & Completion Records
Automate branded completion certificates and export audit-ready learner records. Certificates issued on Ruzuku (like CVOEO's tenant education) are officially recognized by external public housing authorities.
White-Label Training on Your Custom Domain
Host training directly on your institutional sub-domain (e.g., learn.rivernetwork.org, workshops.cvoeo.org). Learners experience your organization's trusted brand from enrollment to certificate.
PO Invoicing, Grants & Split Billing
Pay via official purchase orders, request institutional invoices sent directly to accounts payable, split billing across fiscal grant cycles, or secure a permanent Lifetime Pro grant license.
8 Ways Nonprofits Deliver Programs on Ruzuku
From municipal counseling to national watershed advocacy, see how mission-driven teams use the platform.
Partner Agency Staff Training
Set the curriculum standard across external organizations. The CFE Fund certifies municipal financial counselors across 150+ cities — training staff they don't directly employ.
Professional & Field Certification
Deliver multi-month accredited sequences. Mindful Birthing runs a rigorous 10-month teacher training in regional cohorts, certifying educators across six continents.
Direct Public & Beneficiary Education
Provide accessible public courses. CVOEO educates Vermont renters and landlords, and its Preferred Renter Certificate is recognized statewide by public housing authorities.
Volunteer & Member Education
Onboard volunteers and run ongoing member education programs. Keep continuous cohorts organized by anchoring reflection discussions directly inside each topic's lesson rather than an unmanageable general forum.
Community Educators & Youth Advocates
Train educators and youth-serving professionals across school districts and community centers with bite-sized, 1-to-2 hour self-paced modules.
Internal Staff & Board Compliance
Standardize internal safety, equity, and operational compliance. Run private employee modules alongside external public initiatives from the same dashboard.
In-Person Event & Conference Registration
Use a free course container as an event shell. Attendees register online, answering custom intake questions, while program coordinators download the roster CSV with full participant details and provide pre-event schedules and materials.
Paid Webinar & Resource Archive
Centralize recorded webinars, handouts, and presentation decks into an ongoing membership course or resource bundle. Members access replays anytime in an organized library, eliminating the need to manually email video links.
Nonprofits & Institutions Using Ruzuku
Five distinct missions delivering certification, volunteer onboarding, and community training.
Cities for Financial Empowerment Fund
Certifies financial counselors working for city agencies and partner nonprofits it does not employ.
CVOEO
Teaches renters and landlords. Its Preferred Renter Certificate is accepted by housing authorities.
River Network
Five free course series for staff at other river and water-protection organizations.
Outright Vermont
Short courses for school staff and youth-serving professionals across the state.
Mindful Birthing and Parenting Foundation
A ten-month teacher training in regional cohorts, plus public programs for expectant parents.

Frequently Asked Questions: LMS for Nonprofits
Pricing, grant funding, compliance, and platform capabilities explained.
Can we run live sessions, and do we need a Zoom account?
You don't need one. Ruzuku has built-in video meetings that run in the browser on every plan, including the free one — up to 60 people in a conference room and 250 in a presentation room. There's also a Zoom integration if you want breakout rooms or a larger group, but it's a second option rather than a requirement.
Can several staff manage our programs, and what happens when one of them leaves?
Multiple staff members can work in the same account with distinct roles: account Admins, Guides (who own courses and author content), and Facilitators (who lead student cohorts, respond to discussions, and review assignments without editing course settings). Turnover is best handled by anchoring course ownership to a generic organization account (such as [email protected]) rather than an individual staff member's email, and adding team members as Facilitators. If a staff member leaves, simply revoke their facilitator access — your courses, student rosters, and completion histories remain completely intact under the organization's account.
We connected the wrong Stripe account. How do we move members to our organization's account?
If your account was initially linked to an individual's personal Stripe account, connecting your organization's Stripe account will not move existing recurring subscriptions automatically — Stripe continues billing those subscriptions through the original account. To transition members without double-billing them: cancel their current subscriptions (they will maintain access through the end of their current billing cycle and will not be charged again on the old account), create the price points under your organization's newly connected Stripe account, and send members the checkout link to re-enroll before their access expires. Billing will then process directly into the organization's account from their next renewal.
Can a donor or sponsor fund free access for specific learners?
Yes. Create a 100%-off coupon on your course or subscription price point. For recurring memberships, set the coupon duration to 'forever' (for ongoing full sponsorship) or 'repeating' for a specific number of billing cycles (e.g., 6 or 12 months). Then copy the checkout link with the coupon embedded. The sponsored learner registers through checkout for $0; if a time-limited sponsorship ends, regular subscription billing begins automatically. This gives sponsored participants full access without requiring you to change the public price point for other learners.
Can a funder or partner organization buy a block of seats for their staff?
Yes. You can create a dedicated private price point for the total group amount (for example, $1,500 for 10 seats) and invoice the partner organization directly. Once payment is received, you can invite their staff members by email or share a private registration link with a maximum enrollment limit. Alternatively, you can issue a 100%-off coupon capped at that exact number of redemptions so the partner's staff can register individually at $0.
How do we run the same required compliance training every year?
Duplicate the course each year (e.g., 'Annual Safety Training 2026' and '2027'). In Ruzuku, removing a participant from a course does not reset their completion history or quiz logs. Cloning the course creates an empty roster with clean progress tracking for the new year, while preserving the previous year's completion timestamps, quiz scores, and issued certificates in your records for compliance audits.
Can we run free, invitation-only programs?
Yes, and about half the nonprofits here do exactly that — no checkout, no public listing, learners invited by email. The CFE Fund runs all of its trainings this way. You can also charge for some programs and not others from the same account, so a free public course and a paid certification can sit side by side.
What can we give a funder as proof that people completed the training?
You can issue certificates, require lessons to be completed in order, and export enrollment and completion records — including for an outside evaluator who doesn't work for you. CVOEO's Preferred Renter Certificate is accepted by Champlain Housing Trust and Burlington Housing Authority, so a completion record from Ruzuku can carry weight outside your own organization.
Does Ruzuku support CEUs, SCORM, or proof that someone watched a video?
No to all three, and it's better to know now. Ruzuku issues certificates and tracks lesson completion, but it does not do weighted CEU scoring, it does not import or export SCORM packages, and it cannot prove that a specific person watched a specific video all the way through. If your accreditation depends on any of those, we're the wrong platform and a call will establish that in fifteen minutes. Ruzuku is also not HIPAA compliant.
Does Ruzuku offer special pricing for nonprofits?
Yes. Qualified nonprofits get 30% off annual plans, which puts Pro at $1,398 a year. There's also a one-time Lifetime Pro option at $4,950 with no recurring fee, which suits grant-funded budgets. See our nonprofit pricing page for the details, or book a call and we'll tell you which one fits.
Can we pay by purchase order, or split it across budget years?
Both are routine here. We invoice, we accept purchase orders including through procurement vendors, we can send the invoice to a finance contact who isn't the person using the account, and we've split payments across two budget years when funding required it. Tax invoices in a second currency are also possible.
Is the platform workable for participants with limited tech skills?
Participants don't download an app or navigate a complicated setup — it works in any browser. Our support team will help your learners directly with technical questions, which matters when your program staff are the ones who would otherwise be fielding them.
